The operating system
for the modern cigar lounge.

A measured suite of software — built for the owners who curate, the staff who serve, and the aficionados who return. One ecosystem, three applications, quietly in concert.

The Suite
i. For operators

The POS

An on-premise register, composed. Built for busy floors, confident hands, and the occasional double Macallan.

  • Table management, splits, and transfers
  • Handheld scanning for every inventory motion
  • Shift reconciliation with audit trail
  • Full Polish localisation & tax handling
ii. For owners

The Back-Office

A browser-based command loft. Inventory, events, marketplace, and staff — in a single, unhurried view.

  • Live inventory across every location
  • Event creation, pushed to the member app
  • Marketplace for verified distributors
  • Analytics written in plain English
iii. For enthusiasts

The Member App

A pocket concierge for the discerning guest. The lounge, the menu, the night — available at a glance.

  • Real-time stock from favourite lounges
  • Members-only tastings & pairings
  • Loyalty that rewards cellar depth
  • Discover partner lounges nearby
§ 02 · The Inventory

Real-time inventory, across every location.

Every draw of a cigar, every uncorked bottle, every humidor transfer — reconciled the moment it happens. Scan from the floor; the ledger updates in the loft. The week's low-stock list arrives before the weekend does.

Built for operators who keep a Siglo VI across three locations on the Gulf Coast and need to know, at 11 a.m., which one is down to its last three.

§ 03 · The Calendar

Curate evenings your members will remember.

Compose a tasting, set the seat count, write the card. Publish, and it surfaces in every member's pocket the next morning. RSVPs close themselves; no-shows inform the next invitation.

Tastings, pairings, member nights, private releases — priced, scheduled, and remembered.

§ 04 · The Marketplace

A marketplace built for connoisseurs.

Source from verified distributors, with provenance, release windows, and allocation visible before you commit. Reorder on cadence, or hold for the rarer boxes. No bidding theatre — just a quiet, honest ledger.

Currently onboarding importers across Florida, Georgia, and the Carolinas.

§ 05

For owners.
A complete ledger of what the Back-Office does.

Capabilities

Ten quiet departments, one tablet. From the first carton received to the last review answered — every motion a proprietor makes, accounted for.

We've documented the Back-Office as a proprietor would read a menu: by course, not by screen. Each group below is a working area of the application, composed to be learned in an afternoon and lived with for years.

i. Product ManagementCatalogue

The Humidor, catalogued.

Every cigar, accessory, and fine spirit — registered, counted, and never out of sight.

  • Add new product — register cigars, accessories, or fine spirits
  • Update quantity — adjust stock manually or via audit
  • Inventory audit — full stock count and reconciliation
  • Low-stock alerts — quiet notice when items fall below threshold
ii. Orders & SalesThe Floor

Orders, end to end.

From the first tap on the floor to the final sign-off — a single, searchable ledger.

  • Process customer order — create and manage orders end-to-end
  • Status tracking — new, in progress, completed — at a glance
  • Returns & complaints — refunds, exchanges, and quiet resolutions
  • Order history — a searchable archive of every transaction
iii. PaymentsTender

Tender, reconciled.

Accept card, digital, and room-charge — with a financial ledger that balances itself.

  • Process online payment — card and digital, taken securely
  • Transaction history — a complete log of every tender
  • Payment reports — exportable financial summaries and breakdowns
iv. Marketing & PromotionsThe Window

The evening, announced.

Compose a hot deal, feature a release, and plan a season — without leaving the loft.

  • Create a hot deal — limited-time offers, set and scheduled
  • Promote products — feature selected items across every channel
  • Schedule a campaign — plan and automate with a visual calendar
v. StaffThe House

The house, in order.

Onboarding, permissions, and rotas — for the team that makes the room work.

  • Register a new employee — onboard with profile and credentials
  • Assign role permissions — control what each role may touch
  • Define access scope — granular permissions, by user or department
  • Manage schedules — plan shifts and working hours
vi. Customer RelationshipsThe Members

Members, remembered.

The quiet art of remembering what a guest ordered, and when they last came in.

  • Customer database — centralized profiles with contact details
  • Loyalty program — points, rewards, and membership tiers
  • Segment customers — by behaviour, spend, or preference
  • Personalized notifications — targeted email or push
  • Purchase history — a full order timeline per guest
vii. Shop SettingsThe Room

The room, configured.

Profile, gallery, and parameters — the administrative corners of your lounge.

  • Edit shop profile — name, address, logo, and contact
  • Photo gallery — upload and organise product and venue images
  • Shop parameters — currency, tax rates, opening hours
  • Notification preferences — which alerts you receive, and how
viii. SuppliersThe Ledger

The supply side.

Distributors, wholesale orders, and the paper trail behind every box in the humidor.

  • Supplier database — supplier profiles and terms
  • Wholesale orders — monitor incoming stock shipments
  • Transaction history — a full purchase ledger per supplier
  • Supplier contacts — direct details and communication log
ix. NotificationsThe Bell

A quiet bell.

The few things worth interrupting for — and nothing more.

  • Low-stock alerts — real-time, when inventory runs low
  • New-order notifications — instant notice for incoming orders
  • System alerts — platform news, errors, and maintenance notes
x. Reputation ManagerThe Network

A community built around excellence.

Shop owners are part of the Reputation Manager network — customers rate and review their experiences, and we use that data to help every member of our network become the best version of their business.

  • Star ratings & reviews — authentic social proof, from the guests who return
  • Reputation dashboard — score, trends, and sentiment at a glance
  • Respond to reviews — engage directly and build lasting trust
  • Performance insights — turn opinion into actionable improvement
  • Become a better place — identify strengths, address weaknesses, grow continuously
xi. Analytics & ReportingThe Loft

The numbers, read plainly.

Dashboards written in English, not in SQL — with an export for when an accountant asks.

  • Sales statistics — revenue, volume, and trend dashboards
  • Purchase history — aggregated data across every guest
  • PDF reports — any report, formatted for the post
  • Customer behaviour — patterns, preferences, and rhythm
  • Export data — raw CSV or Excel, for external analysis

§ 07

On the house.

About

We kept finding
the same problem
behind the curtain.

i.

Craft, first.

We design at the pace of a well-made drink. Slowness is not a bug.

ii.

Proprietor-led.

Every feature is sketched with an operator in the room.

iii.

Quietly useful.

The software should disappear. The evening should not.

Lounges across Florida and the Gulf Coast were running their rooms on a patchwork — a POS from 2011, a spreadsheet for the humidor, a group chat for events, and a loyalty program printed on card stock. The wines got better. The software did not.

Cigar Lounge OS is the answer a few of us wished existed when we sat on the other side of the bar in Naples. One application for the floor. One for the loft. One for the guest on their way home. Composed together so the room runs without anyone noticing.

"We built the quietest tool we could imagine, so the loudest thing in the room would still be the conversation."
